KEAP Privacy Policy for submitting to The Library – updated May 2018

We are really pleased that you would like to submit your work to the Library section of The Story Republic website thestoryrepublic.co.uk/the-library

The website is managed by Kernow Education Arts Partnership (KEAP) as part of our work in creative literacy, arts and education.

 

What information do we collect and why?

When you submit work to the Library, we collect your name and your email address, so that we can contact you about your submission.

If you enter your name in the author section, your name will also be shown as the author of the work. If you prefer you can leave this blank, or put in a shortened or different name. Your email address will never be made public on our website.

If you are under 13 years of age, please ask a parent or carer if they are happy for you to submit your work. They should email us at [email protected] to give their permission.

We use Google Analytics to analyse the use of our website. Google Analytics gathers information about website use by means of cookies. You can view and control cookies in your web browser using the privacy settings in your browser.

 

How do we share your information?

We will never sell, rent or share your personal contact data with anyone without your explicit permission. We do not transfer your data outside of the European Economic Area.

We share your work and the name you have entered on the submission form on the Library section of our website.  We do not share your email address or your age.

Permission for use of content and images

When you submit work to the Library – poetry, story, song, audio, film or images – the work must be your own. This is especially important if you submit an image to accompany your work. If there are people in the image, you must have their permission to use their image and for it to be uploaded onto our website. If you use artwork or other images, you must be sure that they are not subject to copyright.

If we are unsure that permission has been given, we will not publish the work on the site.

 

Legitimate Interests

The term ‘legitimate interests’ applies to the business interests that we as an organisation have in collecting, holding and processing your personal data. These do not supersede your personal rights and interests. Our legitimate interest in the case of the Library section of the website is to provide a service to you.

 

How is my information stored?

Your full name, email address and the work you have submitted to the Library is stored on the website ‘backend’. This area is password protected and only accessible by KEAP staff and our website administrators. The website itself is hosted with a secure hosting provider  – Spiral Hosting.

Your contact details may be extracted from the ‘backend’ for use in contacting you regarding your work, but will be deleted once it is no longer required.

 

How can I delete or change my work and my contact details with you?

At any time you can email us and ask for your work to be removed from the Library and your contact details to be removed from the website ‘backend’ You can also ask for your work or details to be updated or changed at any time. To do this email [email protected] We will action your request as soon as possible, and in any event, within 30 days.

 

Work submitted by children under the age of 13 years

Anyone can submit work to the Library, but we can only display the names of children under 13 with the explicit consent of their parents or carers. In order to facilitate this, a parent or carer must email us at [email protected] giving their permission for the name of the child to be attributed to the work. If work is being submitted by a school or group, the school must demonstrate that they have obtained permission from the parents or carers to submit the work and have the child’s name attributed to it.

 

How long will my information be stored for?

Your work will appear on the Library for up to 5 years. We may refresh the site at any time, which may mean removing some older work. Once the work is removed, all other contact details will be deleted at the same time. You may still request your work and details to be deleted at any time.

 

How can I complain?

If you have any questions or would like to lodge a complaint about our use of your personal data, you can contact us on [email protected]. You may also contact the Information Commissioners Office at www.ico.org.uk or 0303 123 1113.
